Data Subject Access Request Policy
Swiftalk Limited's Data Subject Access Request (DSAR) Policy explains how we handle requests to access, rectify, erase, restrict, port, or object to processing of personal data.
A valid request is handled after identity verification. The policy states that Swiftalk aims to respond within one month, subject to lawful extensions or pauses where further information is needed.
For account or privacy support, contact support@swiftalk.com.
Who can make a request
You may make a request about personal data that relates to you. A representative may make a request for you where they provide authority that we can verify. We may ask for information needed to confirm identity, authority, and the scope of the request before treating it as valid.
What you can ask for
Depending on the request and applicable law, you may ask whether we process your data; receive a copy; understand the purposes, categories, recipients, retention period, and source of the data; correct inaccurate data; erase data; restrict processing; receive portable data; or object to particular processing.
How to submit a request
Contact support@swiftalk.com with the account email or username concerned, the right you want to exercise, and enough detail for us to locate the relevant information. You do not need to use specific legal wording. Providing a clear description helps us respond efficiently.
Timing and communication
Once a request is valid, Swiftalk aims to respond within one month. Where permitted, this may be extended for complex or numerous requests; we will explain the reason and the revised timeframe. If we need clarification or additional identity information, the response period may be paused until it is supplied.
Searches, third-party data, and exemptions
We search relevant active systems and structured records that are within scope. We may redact information that identifies another person, withhold information protected by legal privilege, or apply another lawful exemption. We will not alter records simply because a request has been received; a separate rectification request can be assessed where appropriate.
Format and secure delivery
We will provide the response in an intelligible format and, where practical, in the format requested. We use an appropriately secure delivery method and retain a record of the request and response for accountability and dispute resolution.
Complaints
If you are unhappy with our handling of a request, contact us first so that we can review it. You may also have the right to complain to the relevant data-protection supervisory authority, including the UK Information Commissioner’s Office.
